Record an off-platform sale
Sold a watch at a fair, in your store, or over WhatsApp? Use Mark as sold to record the sale, take down its listings, and keep your inventory and margins accurate.

When you sell a watch outside Worldwatch (at a fair, in your store, over WhatsApp), record it with Mark as sold. The watch leaves your active inventory, any live listings are taken down (including on external channels), and the sale is captured in your figures. This keeps your inventory, margins, and metrics accurate even for sales that never went through the platform.
Mark a watch as sold
Open Mark as sold
Open the watch in Inventory → Manage watches, then click Mark as sold at the top of the item.
Enter the sale date and price
Set Sold on to the date of the sale, and enter the Sale price with its currency. The sale price is what feeds the watch's final margin.
Link who bought it
Under Sold to, search your contacts by name, company, or email and pick the buyer. Don't have them yet? Create a contact inline. You only need a name (an Individual's first and last name, or a Business name), and can fill in the rest later on the contacts page. Linking a buyer is optional, but it keeps your sales history complete. See add and manage contacts.
Choose whether to take down listings
If the watch is live on any channel, Take down active listings is on by default. Marking it sold unlists it everywhere, including external channels, so you can't sell it twice. Leave it checked unless you have a specific reason not to.
Confirm
Click Mark as sold. The watch leaves your active inventory, its listings come down, and the sale shows up in your margin and dashboard metrics.
Sold watches move out of the default view. A watch you mark as sold leaves your active inventory. Find it again with the Sold filter. Its sale date, price, and buyer stay on the record and remain editable from the item afterwards.
Verify
In Inventory → Manage watches, filter to Sold and open the watch. It shows the sale date, final sale price, buyer, and margin. If you linked a buyer, the sale also appears on that contact's record.
Change or undo the sale
After you mark a watch sold, the sale appears on the item as a Disposal record (type Sold externally), with two actions:
- Edit: change the sale date, sale price, or linked buyer. The details stay editable for as long as the watch is sold.
- Undo: return the watch to your inventory. Worldwatch asks you to confirm, then removes the disposal record (sale price, buyer, and linked contact) and puts the watch back as a draft.
Undo doesn't restore listings. Returning a watch to inventory removes the sale record and sets it back to draft, but it does not re-list it on any channel. Relist it yourself when it goes back on sale.
Troubleshooting
The listings didn't come down
Take down active listings must be ticked when you mark the watch sold. If you cleared it, the watch is recorded as sold but stays listed on its channels. Re-open the item and unlist those channels, or mark it sold again with the box ticked.
Wrong watch, date, price, or buyer
Use Edit on the item's Disposal record to fix the date, price, or buyer. If you marked the wrong watch sold entirely, use Undo to return it to inventory (see Change or undo the sale).
